Business Growth Playbook
How to automate a small business with AI without creating operational chaos
AI should strengthen a clear workflow. Document repetitive work, decide where human judgment is required, automate one narrow step and measure the result before connecting more systems.
Start with repetitive, reversible work
Good early candidates have clear inputs and outputs: lead capture, CRM updates, follow-up reminders, summaries, routine drafts, reports and FAQ assistance. Pick processes where mistakes are easy to spot and reverse.
- Lead routing
- Follow-up tasks
- Internal summaries
- Reporting and knowledge support
Keep humans at high-risk decisions
Pricing exceptions, contractual commitments, legal or financial approvals, sensitive customer decisions and irreversible actions should have explicit human review.
Record important actions and define who can approve exceptions.
- Approval thresholds
- Action logs
- Data controls
- Fallback paths
Measure one business outcome
Choose a target such as response time, follow-up completion, admin hours saved, proposal turnaround or error reduction. Compare the before-and-after result so the automation is evaluated as an operating system.
Standardise before scaling
Once the workflow is stable, document the SOP, edge cases, owner and escalation route. Then extend it to additional channels or teams. Reliable automation grows from tested processes.
